The Accounts Payable Clerk is responsible for performing a variety of financial, administrative, and clerical duties to ensure accurate and timely processing of invoices and payments in accordance with county policies, procedures, and applicable regulations. This role supports financial operations by maintaining accurate records, verifying transactions, and assisting with audits and reporting.
Essential Job Functions
- Process accounts and incoming/outgoing payments in compliance with financial policies and procedures.
- Perform day-to-day financial transactions, including verifying, classifying, and recording accounts payable data.
- Prepare bills, invoices, and bank deposits received electronically and in the mail.
- Reconcile the accounts payable ledger to ensure that all bills and payments are accounted for and properly posted.
- Audit claims submitted by departments for accuracy.
- Facilitate payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies.
- Verify and investigate discrepancies by reconciling vendor accounts and monthly vendor statements.
- Facilitate payment of invoices due by sending bill reminders and contacting clients.
- Generate reports detailing accounts payables status.
- Verify and/or add budget codes to claims.
- Complete voter registration forms and other related election work.
- Issue stop-payments, purchase order amendments, marriage licenses, passports, and liquor licenses.
- File proof of publications.
- Grant reimbursement submissions.
- Fiscal Year receipt entries.
- Document filing and records maintenance.
- All other duties as assigned.
Preferred Talents
- Understand basic bookkeeping and accounting payable principles.
- Ability to calculate, post, and manage accounting figures and financial records.
- Proficient skills in data entry.
- Experience with spreadsheets, proprietary software, and proficiency in MS Office.
- High degree of accuracy and attention to detail.
- Effective communication skills both verbal and written.
Qualifications
- High school diploma or equivalent.
- Degree in accounting, finance, or related field preferred.
- Relevant experience working as an Accounts Payable Clerk.

Pay: $19.50 – $22.50 per hour
